Top Tech Tools for Meetings

After attending a fabulous MeetingsFocus webinar on “The Latest Tech Tools,” I couldn’t wait to check out all links that they provided. Jim Spellos, a MS Office Specialist and New York University Professor, was the presenter.  If you don’t read any further, please do yourself a favor and follow him on Twitter @jspellos.  In fact, one of his favorite “killer” tools is Twitter, because he says that there is more useful information being shared on Twitter than anywhere else.   Jim explained, “Through sites like Facebook and Twitter, you extend your social media reach out into the community.”

If you’re not sold on Twitter, then here’s a list of links that Jim recommends you use when planning your next event.

  •  - Do you provide your attendees with a daily newsletter? is a great tool to use to publish your own newsletter, including a digital version.  It’s clean a simple to use; you can sign up for a free account by using your Facebook or Twitter log in.  Here’s Jim Spellos’ daily newsletter.  As you can see, it’s not just for meetings.  It’s also a great way to stay connected to your audience throughout the year.  
  • SpotMe  - This hand held tool allows your attendees to find each other via radar technology.  When you are close to someone you want to meet up with, it will vibrate and their picture will pop up.  It also includes polling, maps, silent auction, messaging, exhibitor information, etc.
  • Prezi  - It’s a mobile whiteboard that can be used instead of PowerPoint. It’s also a good tool to use for brainstorming, and it’s easy to update.

Site Selection Must Haves – Before you Sign a Contract:

  • Bandwidth Test -  It’s likely that your attendees are coming to your event with a computer and a smartphone.  Some also bring a tablet. You need to be prepared for wired and wireless devices.   Will you have enough bandwidth?  What about outlets and charging stations?  These are important questions to ask the hotel sales manager.

  • HyattE Concierge – Have a question or a request? Submit your request and you will be contacted by a member of their staff.
  • Marriottgreen  - Marriott's Green Twitter Feed, which will help you stay on top of hotel industry trends.
  • #EventProfs  - Join the event professional's chats on Tuesdays at 9:00am and Thursdays at 12:00pm.

  • – is an easy url shortener for your Twitter posts.
  • QR Codes allows you to share content with your customers, and they can be placed on anything, from ads in your program book, stickers, or to even temporary tattoos.  Try Quickmark or Google "QR code generator."
